Account & Access
Invite your team
Give staff their own ShopEazy login instead of sharing yours. Choose Admin or Staff, see how many seats your plan includes, and cancel an invite you no longer need.
Everyone who helps run your shop should have their own login. It's safer than sharing a password, and you can choose how much each person can change. Team members join your whole business, so they can work in every store it has.
Before you start
- You need to be the owner or an admin of the business to invite people.
- Check your seats. Every team member uses a seat, and so does every invitation that hasn't been accepted yet. You, the owner, count as one. Starter has 1 seat (just you), Growth has 5 and Scale has 50. On Growth and Scale you can add more seats for R49 a month each.
- Use the email address they'll sign in with. They can only accept by signing in with exactly that address.
Your free trial runs on Growth, which has 5 seats, so you can invite people straight away. If the trial ends and you choose Starter, the people already on your team stay, but you can't invite anyone new. Choose your plan under Plan & billing before you can invite anyone. See Your plan, billing and platform fees.
Choose the right role
There are three roles:
- Owner. The person who created the business. Only the owner can change the plan or close the business. There's one owner, and you can't invite someone as owner.
- Admin. Can do everything the owner can except change the plan and close the business. That includes inviting people, changing store settings, connecting payment providers and buying AI credits.
- Staff. For day-to-day work such as orders, products and customers. Staff can't change store settings, payments, policies, your domain or what you sell, can't build or publish pages, and can't invite people, edit business details or buy credits.
Start people on Staff and only make someone an Admin if they really need to manage settings or the team.
Send an invitation
- Open the menu under your name and choose Business, then Team. (You can also click your business name in the sidebar and choose Team.)
- Click Invite member.
- Type their Email.
- Choose a Role: Staff — day-to-day store management or Admin — full access, manage team & billing.
- Click Send invite.
The invite appears under Pending invitations with the role you chose. We email the person a link.
What your teammate does
- They open the email, "your name invited you to your business on ShopEazy", and click View invitation.
- They click Create your account if they're new to ShopEazy, or I already have an account.
- They sign in with the invited email address. New accounts confirm their email with a 6-digit code first.
- On the invitations screen they click Join (or Accept if they already run a business of their own on ShopEazy).
If they already have their own business, yours is added to their list. They can switch to it by clicking the business name in the sidebar and choosing it under Switch business.
Cancel an invitation
Under Pending invitations, click Revoke next to the invite. The link stops working and the seat is freed straight away. Revoke any invite you sent to the wrong address, or to someone who's no longer joining.
There's no resend button. To send a fresh invite, revoke the old one and invite them again.
Keep your team safe
- Invite each person separately. Never share your own login.
- Give Admin only to people you'd trust with your payment settings.
- Revoke invites that nobody has accepted.
- Ask your team to keep their accounts secure too.
You can't yet remove a member or change their role from the console. If someone leaves, or needs a different role, email support@shopeazy.co from the owner's email address and tell us what needs to change.
Check that it worked
On Team, the person moves from Pending invitations into Team members with an Active badge once they've joined. The top of the card shows how many seats you've used, for example "3 of 5 seats used".
If something goes wrong
The Invite member button is greyed out. Every seat on your plan is taken, counting pending invites. You'll see "You’ve used all number seats on your plan plan." Revoke an old invite. On Starter, click 5 seats with Growth. On Growth and Scale, click Add a seat to buy one for R49 a month.
My teammate sees "Invitation not found". The invite was accepted, revoked, or the link got cut off. Check Pending invitations. If it's not there, invite them again.
My teammate signed in but doesn't see an invite. They signed in with a different email address from the one you invited. Ask them to sign out and sign in with the invited address, or revoke the invite and send a new one to the address they use.
My teammate signs in with their phone number. Phone-only accounts have no email, so an invite can't match them. They need to add an email under Profile & account → Sign-in methods first, or you can invite an address they already use.
A staff member can't save a settings page. That's expected. Settings changes need an owner or admin.
