Run tours and departures

Sell seats on trips that leave on set days. Set when it runs and how many seats each departure has, then print the list of who's coming.

schedule4 min read

A tour is a trip that leaves at set times, with a set number of seats: a boat trip, a walking tour, a shuttle or a multi-day trip. Travellers book a seat on a departure, and you get a list of who's coming.

Turn on tours

Click Settings, then What you sell, and switch on Tours. Tours appears under Catalogue, and Departures and Calendar under Apps.

Add a tour

  1. Go to Tours and click New tour. Or let AI draft it from your brochure or a few words.
  2. Under Details, add the name, the price, How long (hours) or How many days, and your Price bands if adults and children pay differently. Every band still takes one seat.
  3. Under Who is travelling, set Seats a departure and the Minimum to run. Below the minimum, a departure is booked but not confirmed. The traveller's name is always asked; add any other questions you need.
  4. Under Where it starts, add your meeting points.
  5. Under Good to know, fill in What's included, What's not and What to bring.
  6. Save.

Set when it runs

Under When it runs:

  • Departure days: tick the days it runs each week and Add a time for each departure. Two times on one day are two separate trips.
  • Specific dates: for tours that run on set dates rather than every week.
  • Days off: a date your pattern says you run but you don't.
  • Notice needed: bookings close this long before departure.
  • Book up to: how far ahead travellers can book.
  • Departures at once: how many groups you can have out at the same time. Raise it if you have a second boat or vehicle.

Departures that already have bookings stay put, so changing the tour never takes away a paid seat.

On the day

Click Departures under Apps to see everything leaving in the next two weeks. Tap one for its list: who's booked, how many seats each, their contact or pickup details, and anyone still Unpaid. Click Print the list to take it with you, and tick people off as they arrive.

Departures also show on your Calendar, next to your bookings and events.
