Set low-stock alerts and track your stock

Tell ShopEazy when a product is running low, see what needs ordering on the Inventory page, and correct your stock levels after a count.

schedule5 min read

ShopEazy counts your stock down as orders are paid, and warns you when a product drops to a level you choose. This article covers setting that level, reading the Inventory page, and fixing stock when your shelves and the numbers don't match.

Before you start

Stock is only counted on physical products with Track quantity switched on. It's on by default for new products. You'll find it in the Inventory card on the product's page.

Set a low-stock alert

  1. Click Catalogue → Products in the sidebar and open the product.
  2. In the Inventory card, make sure Track quantity is on.
  3. Type your warning level in Low-stock alert at. For example, 5 means you're warned when 5 or fewer are left.
  4. Click Save changes.

If you leave Low-stock alert at empty, ShopEazy only warns you when the product is completely out of stock.

You can also set this from the Inventory page. Open Catalogue → Inventory, click the product's name, and use the When to reorder card:

  • Warn me at: the same low-stock level as above.
  • Order more at: an earlier point that marks the product Time to order. Set it above the warning by roughly what you sell while a delivery is on its way.
  • Order this many: how many you usually reorder.
  • Where it sits: a shelf or bin location, for example Aisle 3, shelf B.

Click Save when you're done.

Where you see the warning

On the Inventory page. Every product (and every version of a product with variants) shows one of these statuses:

  • Out of stock: none left.
  • Low: at or below your Warn me at level.
  • Time to order: at or below your Order more at level.
  • In stock: everything else.

The page opens on Needs attention, so what's running out is the first thing you see. Use the filters to switch to Everything, Out of stock, Low or In stock.

In your notifications. A Low stock or Out of stock notification appears under the bell at the top of the console when a sale takes a product to your level. This happens for orders you mark as paid in the console and for Yoco payments. Online orders paid through iKhokha or Peach Payments don't raise a stock notification yet, so keep an eye on the Inventory page too.

Read the Inventory page

Open Catalogue → Inventory. The Stock tab shows:

  • Stock value: what your stock is worth at cost. Products with no Cost per item can't be valued, and the card tells you how many.
  • Units on hand
  • Out of stock
  • Worth ordering: products that are low or due for reordering.
  • On its way: stock orders you've placed that haven't fully arrived.

Each row shows how fast the product sells (based on the last 30 days), how long your stock will last at that rate, and a suggested order quantity. The − and + buttons take one off or add one on, and each click is recorded.

The other tabs are Materials, Making, Ordering, Counts and Insights. Insights shows what runs out this week, what's barely moving, what hasn't sold at all, and how much stock has gone missing in your counts.

Correct a stock level

For a single product:

  1. On Catalogue → Inventory, click the product's name.
  2. In Change the level, pick the version under Which one if the product has variants.
  3. Choose Add or remove to change it by an amount (use a minus, like -3, to take some off), or Set the total to enter what you counted.
  4. Pick a reason under Why: Adjusted, Received, Written off or Stock take.
  5. Add a Note if it helps, for example "two broken in transit".
  6. Click Save the change.

The page then shows Everything that moved it, a history of every sale, return, count and adjustment on that product.

Count all your stock

  1. Open Catalogue → Inventory and choose the Counts tab.
  2. Click Count stock.
  3. Optionally name the count, for example "month end".
  4. Type what you actually have in Counted beside each line you've checked. Lines you leave empty aren't changed. Difference shows the gap against Books say.
  5. Check the summary at the bottom, then click Save the count.

Nothing changes until you save, so you can take your time. The Counts tab keeps every count, who did it, and what was missing or found.

If something goes wrong

"Stock isn't tracked on" your product. Track quantity is off for that product. Switch it on in the product's Inventory card and save.

"That would take" the product "below zero." You tried to remove more than is recorded. Use Set the total with the number you actually have instead.

My product isn't on the Inventory page. Only products with Track quantity on appear there. If none do, the page says Nothing to count.

I never get a low-stock notification. Check that Low-stock alert at has a number in it. Notifications also only fire for the payment types listed above, so use the Inventory page's Needs attention view as your main check.

Stock didn't go down after an order. Stock is taken off when an order is fully paid. An unpaid or part-paid order doesn't hold stock yet.
